Windows 10 Background Apps: Common Mistakes to Avoid

Avoid the common missteps that turn background app tuning into a performance headache on Windows 10.

Tuning background apps can make your PC feel faster, but a few common mistakes can leave you with broken notifications, missing sync, or even a non-booting PC. Here are the pitfalls to avoid and how to fix them safely.

Mistake #1: Turning Off Everything in Settings

In Settings → Privacy → Background apps, it is tempting to flip the master switch to Off and call it a day. That also blocks useful things like Mail, Calendar, and OneDrive sync. Instead, leave the master switch on and turn off only the apps you never use.
If you do flip the master switch, be sure to test the apps you rely on (mail notifications, calendar reminders, file sync) to confirm they still work.

Mistake #2: Killing “Suspicious” Processes Without Research

A process like RuntimeBroker.exe or SearchIndexer.exe can look scary in Task Manager, but they are core Windows services. Killing them can cause apps to stop responding or search results to disappear. Always Google a process name before terminating it, and prefer disabling it through Settings or Group Policy if it’s genuinely problematic.

Mistake #3: Using “One-Click” Optimisers Blindly

Many cleaners promise to fix everything with a single click. They often disable services, uninstall components, or tweak registry keys without explaining what they are changing. If you use one, run it once, then manually verify your main workflows still work (email, cloud sync, printer, etc.).

Mistake #4: Disabling Windows Update or Defender

Some guides suggest turning off Windows Update or Microsoft Defender to save resources. This is a terrible idea — it leaves you exposed to security vulnerabilities. If Windows Update seems to be using too much disk or CPU, address the root cause (e.g., stuck updates) rather than disabling the service.

Mistake #5: Neglecting Telemetry and Scheduled Tasks

Windows 10 runs a lot of tasks in the background (maintenance tasks, telemetry, update checks). Some of these can be safely deferred, but simply disabling the wrong task can stop important functions (like update delivery or telemetry required for Windows Store apps).
Use tools like Task Scheduler to see when tasks run and disable only those from third-party apps you recognize. Keep the built-in Microsoft tasks enabled unless you understand the consequences.
